Privacy Statement

The Australian Institute of Training and Development (AITD) is committed to protecting the privacy of any personal information it receives and collects. We are committed to using personal information in accordance with the Australian Privacy Principles (APPs) in the Privacy Act 1988 (Cth) (Privacy Act).
AITD delivers its services to individuals and members. To do this we need to store some of your personal information. This Statement explains how AITD collects, stores, uses, discloses and otherwise handles any personal information relating to individuals whether they are members or non-members. It also explains how you can contact us to access and correct the personal information we hold about you or complain about any suspected privacy breach. Nothing in this Statement limits any of our other obligations at law.
AITD reserves the right to make amendments to this Statement at any time. We will indicate any changes by updating the "last updated" date above. We suggest you read this Statement in conjunction with information on the Office of the Australian Information Commissioner's website www.oaic.gov.au

What Personal Information We Collect
AITD can only collect personal information by lawful and fair means and will only collect personal information when it is reasonably necessary for our core functions and activities.
Members and applicants for membership
- your name, personal and business contact details, and date of birth
- your position, employer, industry and area of professional responsibility
- your professional and academic qualifications
- any personal information contained in a resume or application you provide to us
- your continuing professional development activity and course attendance history
- your capability assessment results and professional development records
- your areas of professional interest
- payment details
- information about your membership of other professional associations, which is 'sensitive information' under the Privacy Act
Where you apply for a designation, award, or a Divisional Council or committee position, we may collect additional information relevant to assessing that application, including referee details and information relevant to your professional standing.
Course, webinar, event and conference attendees
- your name, contact details, position title and organisation
- payment details
- any dietary, accessibility or other requirements you provide to us
- your attendance, participation and, where applicable, assessment records
Website users and subscribers
- your name and contact details
- your communication and content preferences
- technical information collected automatically, as described under Online Privacy below
Sensitive information
Some information we collect is 'sensitive information' under the Privacy Act, including information about your membership of a professional association and any health information you provide (for example, a medical certificate supporting a course transfer request, or accessibility requirements for an event).
We only collect sensitive information with your consent and where it is reasonably necessary for our functions and activities, or where the collection is required or authorised by law.
If you choose not to provide information
Should you choose not to provide personal information, we may not be able to provide you with the services you require.
How We Collect Personal Information
We collect personal information in a number of ways, including through membership application and renewal forms, course and event registrations, conference registrations, surveys, assessments, correspondence, telephone conversations, and through our website and member portal.
We may also collect personal information from third parties including your employer, your representatives, related companies, and from publicly available sources where we are required or authorised by law to do so.
Photography, filming and recording at events
AITD photographs, films and records its courses, webinars, events and conferences to share the experience through our digital channels and publications, and for educational and archival purposes.
If you attend an AITD event, whether in person or online, you may be filmed, recorded or photographed, and those images and recordings may be published in any medium, including on the AITD website, in AITD publications and on social media.
If you do not wish to be photographed or filmed, please advise the event organiser before or at the commencement of the event and we will take reasonable steps to accommodate your request. We cannot guarantee exclusion from wide-angle, crowd or incidental footage.
Unsolicited information
Unsolicited personal information is personal information we receive that we have taken no active steps to collect. If the information we receive is not required for AITD to perform one or more of our services or activities, AITD will destroy or de-identify the information as soon as practicable.
Dealing With Us Anonymously
Where it is lawful and practicable to do so, you may deal with AITD anonymously or using a pseudonym. For example, you can browse our website and make general telephone enquiries on +61 (2) 9211 9414 without identifying yourself, and you may respond to our surveys anonymously.
In some cases we cannot provide a service without identifying you. You must identify yourself to become an AITD member, to register for a course, event or conference, to participate in the mentoring program, or to hold an AITD designation.
Why We Collect, Hold, Use and Disclose Personal Information
We handle your personal information so that we can:
- establish, administer and renew your membership
- deliver our courses, webinars, mentoring program, events and conference
- maintain your professional development and capability records
- assess applications for membership, designations, awards and volunteer or committee positions
- process payments and administer your account
- respond to your enquiries and provide support
- communicate with you about our activities, and about developments in the profession
- develop, improve and evaluate our products, services and content
- internally analyse membership demographics and professional trends
- maintain and update our business systems and infrastructure
- manage professional conduct matters under our Code of Ethics, Constitution and By-Laws
- meet our obligations under the Corporations Act 2001 (Cth) and other applicable laws
We may also handle personal information for other purposes explained to you at the time of collection, or which are required or authorised by or under law.
Who We Disclose Personal Information To
We may engage other organisations (our Associates) to provide services on our behalf. These organisations are permitted to obtain only the personal information they need to deliver the service. We take reasonable steps to ensure that they are bound by confidentiality and privacy obligations in relation to the protection of your personal information.
Our Associates include:
- information technology, customer relationship management and learning platform providers
- conference and event organisers, and event venues
- marketing and communications agencies
- mailing houses, freight and courier services
- printers and distributors
- our legal, accounting, financial and other professional advisers
- regulatory, government and other authorities as required by law
- members of our Divisional Councils, committees and working groups
- our partners and sponsors
Disclosure at events and to sponsors
Where you register for an AITD event or conference, we may disclose your name, position title and organisation to the organisers, venue, speakers, exhibitors, sponsors and partners of that event, and to fellow delegates. Contact details are not disclosed to sponsors or exhibitors without your consent.
Disclosure where your employer pays
If you are enrolled in a course, program or event under an arrangement with your employer, and your employer pays the fee, we may disclose your enrolment and attendance status to your employer.
Publication of names
We may publish the names of members granted designations, and the recipients of AITD awards, prizes and scholarships, in AITD publications, on our website and in our Annual Report.
AITD does not sell or rent personal information to third parties.
Overseas Disclosure
Our customer relationship management platform, which holds our core membership and contact records, stores personal information in Australia.
Some of the other systems and applications we use — including applications integrated with our customer relationship management platform, and our learning, event management, survey, email distribution and cloud hosting services — may store or process personal information outside Australia. Overseas recipients are most commonly located in the United States and the European Union.
The systems and applications we use change from time to time as our technology and service arrangements evolve. We take reasonable steps to ensure that the providers we engage maintain appropriate security and privacy standards, and handle personal information in a manner consistent with the Australian Privacy Principles.
Direct Marketing
We may use your personal information to let you know about AITD products, services, events, publications and member benefits, and about those of our partners and sponsors where relevant to your profession.
We may contact you for these purposes by mail, email, SMS, telephone or online.
By providing us with your contact details, your consent to receive these communications will remain current until you advise us otherwise.

Payment Information
Credit card and other payment details are not processed or stored directly by AITD. Payments are handled by secure third-party payment providers.
Where you enter into a recurring payment arrangement with us, such as monthly membership payments or an instalment plan, your payment method is securely stored by our payment provider so that scheduled payments can be processed. AITD does not hold your full payment card details. We may retain limited information, such as the card type, the last four digits and the expiry date, to identify the payment method and to contact you if a payment fails or a card is due to expire.
You can update or cancel a stored payment method at any time by contacting us.
Quality of Personal Information
AITD takes reasonable steps to make sure the personal information we collect, use or disclose is accurate, complete and current. However, the accuracy of that information depends predominantly on you keeping in contact with us. We recommend that you contact us, or update your details through the member portal, if there are errors in your information or changes required.
Security of Personal Information
We take reasonable steps to protect the personal information we hold from misuse, interference, loss, and unauthorised access, modification or disclosure. These steps include information technology security measures, restricted access to systems and records, staff confidentiality obligations, and internal policies and training.
You can help to protect the privacy of your personal information by keeping passwords confidential, changing them regularly, and ensuring that you log out of the website when you have completed your transaction. We recommend you do not send payment card details in the body of an email.
We cannot remove all risks involved in sending information over the internet. You send information to us over the internet at your own risk.
AITD is not responsible for the privacy or security practices of third-party websites that you access via links on the AITD website. We suggest you review the privacy policy of each site you visit before providing personal information to them.
If you become aware of any security breach, please contact us as soon as possible.
Retention of Personal Information
We retain membership records, and records of course, event and conference attendance and assessment, for as long as is reasonably necessary to maintain your professional record — including for the purposes of designations, awards and continuing professional development history — and to meet our legal obligations.
We retain financial and transactional records for a minimum of seven (7) years as required under the Corporations Act 2001 (Cth) and applicable taxation legislation.
Where personal information is no longer required for any purpose for which it may lawfully be used, and we are not required by law to retain it, we take reasonable steps to destroy or de-identify it.
Data Breaches
In the event of unauthorised access to, unauthorised disclosure of, or loss of personal information that is likely to result in serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner as required under the Notifiable Data Breaches Scheme.
Third-party service providers engaged by AITD are required to notify us promptly of any actual or suspected data breach affecting personal information they hold on our behalf.
Online Privacy
Information collected automatically
For each visitor to our website, our server automatically records your IP address, browser type, the address of the site that referred you, the pages you access and the time of access. This information is used to administer and improve the website and is generally not used to identify you.
Cookies and analytics
Our website uses cookies to enable core functionality, to remember your preferences, and to understand how the website is used so that we can improve it. We use analytics tools that may set cookies and collect usage information.
Most internet browsers are set to accept cookies. If you prefer not to receive them, you can adjust your browser settings to reject cookies or to notify you when they are being used. Rejecting cookies may restrict your use of the website.
Accessing and Correcting Your Personal Information
Access
You can access the personal information we hold about you, with some exceptions permitted by law. To request access, email membership@aitd.com.au.
Members can access and update their contact details and preferences at any time by logging in to the member area of the website. For any personal information that cannot be accessed or corrected through the website, please contact us.
We do not charge for access to current records. We may charge a reasonable fee for providing access to archived records, but not for making the request.
If we refuse your request, or refuse to give you access in the manner you requested, we will provide you with written reasons for our refusal and information about the complaint process available to you.
Correction
If you believe the personal information we hold about you is inaccurate, out of date, incomplete, irrelevant or misleading, please contact us with your request for correction. We will consider and action correction requests promptly, and will tell you if we are unable to make a requested correction and why.
Complaints
If you have a complaint about how AITD has collected, stored, used or disclosed your personal information, please contact us.
We will acknowledge your complaint within five (5) business days and aim to respond substantively within thirty (30) days. Where we need longer, we will tell you why and when you can expect our response.
